Shipping & Delivery Terms

At VintageJapanHiFi, we provide a range of shipping options to ensure your items are delivered safely and efficiently, including EMS, UGX and Sagawa from Japan and International courier services like FedEx, DHL, and USPS. For most amplifiers, turntables, and cassette decks under 20kg (after packaging), we recommend EMS Standard International Shipping via Japan Post as the default service at checkout. EMS offers a cost-effective, reliable, and fast delivery solution, complete with tracking details for peace of mind. Additionally, EMS shipping includes insurance coverage for most countries. Due to current tariff implications, UGX shipping has replaced EMS for shipments to the United States. UGX allows an advance 15% tariff payment on Japan imports prior to departure, helping to avoid unforeseen delays at U.S. customs and sorting facilities. Based on feedback from other Asian audio retailers, some Asian-origin shipments have experienced misclassification (e.g. China) during customs processing due to backlog volume. To prevent such issues and ensure smoother delivery for our U.S. customers, we have adopted UGX as a precautionary measure.

 

Please note that UGX shipping rates are approximately 30%–40% higher than the previous EMS service.

Up to 15 kg: USD $275

Up to 20 kg: USD $360

Up to 25 kg: USD $415

Up to 30 kg: USD $500

Up to 35 kg: USD $595

Up to 40 kg: USD $660

Up to 45 kg: USD $730

Up to 50 kg: USD $800

Note: These options remain more affordable than DHL, FedEx, or USPS, which usually limit shipments to 20 kg. Any units over the 20kg weight limit restrictions will be sent by UGX shipping.

Additionally, a final check cum handling fee will be applied to each individual item shipment. This fee covers the cost of high-quality packaging materials, labor, local domestic transport (pickup & drop-off), final audio testing, video uploads to Google Drive for review and the time required (7 to 10 days) to securely prepare your items for shipping.

Final Check cum Handling Fees Guidelines

 

For amplifiers shipped to North America (United States), South America and Australia, the following flat rates apply:

 

  • Up to 25 kg: USD $180

  • Range 25 ~ 40 kg: USD $200 ~ USD$250

 

 

The higher rate reflects the additional protective packaging required for long-haul shipping to ensure your Hi-Fi equipment arrives safely and undamaged.

 

For all other regions (Asia & Europe) where EMS service is available, a flat handling fee of USD $150 applies to packages up to 20 kg. Units under 15kg will apply a handling fee of USD$120 ~ $150, depending on final package size and weight.

 

Most regions have a 30kg weight limit with EMS shipping while others only have 20kg.

​For items over 30 kg, shipping costs and handling fees will be quoted separately based on weight, destination, and shipping method (since EMS has certain weight limit for specific countries, e.g. Australia is 20kg limit)

All handling fees are included with the shipping fees upon checkout based on the weight of each unit.

Package Delivery

Shipping Times

Most international orders are shipped within 3 - 5 business days of purchase. For freight shipments, please allow 7 - 10 business days for handling and packing. Once the shipping label is created, tracking information will be emailed to you promptly.

Estimated delivery times vary by region:

  • United States & Europe: Approximately 14 days (2 weeks), depending on weather and seasonal delivery traffic.

  • Asia: Approximately 7 - 10 days.

Customs Charges and Duties

International buyers are responsible for any customs fees, duties, or taxes imposed by their country. These charges are collected separately by your country’s customs office. We strongly recommend visiting your local import office’s website or contacting them directly to understand any potential fees before purchasing vintage audio gear. This ensures you are informed in advance about the charges that may apply upon the item's arrival.

Customs duties are typically calculated based on the total cost of the item, as listed on the proforma invoice. At Vintage Japan HiFi, we strictly adhere to international online business regulations. All items will be declared with their actual sale price and we cannot label them as “gifts” or assign zero value.

At Vintage Japan HiFi, we take great pride in restoring and testing every piece to its original factory specifications, collaborating with our esteemed Takumi partners - master craftsmen renowned for their expertise. Every step of the process, from meticulous restoration to secure packaging, is carried out with unwavering attention to detail to ensure your gear arrives in pristine condition.

While we highly recommend in-person pickups whenever possible to maintain the integrity of these sensitive vintage electronics, we understand that international shipping is often the more practical option. To minimize risks, we use industry-leading packing techniques and materials to protect each item during transit.

 

 

Damage Disclaimer:  

We take exceptional care to ensure that all items, whether large or small, are expertly packaged to withstand the journey to your doorstep. Each piece of vintage audio equipment is professionally packed using industry-standard techniques. We meticulously double-pack and double-box every item to provide maximum protection, ensuring your gear has the safest possible journey. Despite our best efforts, we acknowledge that certain risks are inherent in the shipping process, especially when using larger commercial carriers.

 

While we cannot accept responsibility for damage that may occur during transit, we are dedicated to working closely with our clients to address any concerns. Please refer to our Refund Policy for details on how such situations are handled.

Damage or Functional Issues

We understand that damages can occur during the shipping process. To help ensure a smooth resolution, we kindly ask that you inspect the package carefully before opening it. If you notice any signs of rough handling, please take clear photographs of the damaged areas on the package.

If obvious damage is present, please contact us immediately so we can gather all the necessary information to assist with an insurance claim.

Please note: Customers are not authorized to send a defective unit to a third-party repair center without our prior consent. We will not cover the cost of repairs that we do not perform or explicitly authorize.

For your peace of mind, every component is thoroughly tested just before packing to ensure it matches the description and is fully functional at the time of shipping.
